Managing a Project
Managing a project is a complex task as you have to look after a lot of factors. When a task of managing a project is given to the manager for the first time, he becomes overwhelmed with joy but with the passage of time, he finds it somewhat difficult and complex to complete it. But if some simple steps are followed, managing a project may become very easy. Here I am giving some simple steps. Following these steps would make it easy for you to manage a project more effectively and efficiently.
The first step is to create a team and assign their specific tasks to them. For example, you may assign a person to look after financial matters; another person may be assigned to handle staffing matters and a person may be assigned to handle public matters associated with public relations. By doing this, you will feel relaxed and become able to manage the project in the best possible way.
Next step is to prepare a project statement. It will give your team a clear understanding of what the project is all about. It will help the team members to understand about what goals are to be achieved, how they will be implemented and how much finance is required to complete the project. One thing that should be kept in mind at this stage is to make certain that the statement has all the details related to the matters like time frame to complete the any specific activity.
You should also establish a system to manage conflicts, clashes, mistakes and delays in completing a work. To handle the disputes, the best way is to convey them to the project manager. Another important thing is to make sure that there is a procedure that could define that how the people associated with the project will communicate about the changes.
Making a contingency plan is also necessary to be on the safe side. Many uncertain activities can take place. For example an employee who has been given an important task may get injured or ill, you may have to face financial problems or you may suffer with the loss of equipment if supplier fails to make a supply of material. So there should also be a contingency plan to handle such situations.
The most important step in managing a project is to keep proper check and balance on the work done by the staff. If you are managing project, then you must be aware of the deadlines and goals which the project statement contains. Having daily reports is a good option. A meeting should also be conducted after a week to discuss about the long term objectives and goals.
Now the last step is very simple but important at the same time i.e. to make a project task list to ensure that all parts of the projects have been completed successfully. Making a project task list is not a big deal these days as you can find countless project task list templates on different sites. Make sure that all of the work has been done properly before revealing it to the BODs. It is quite vital and crucial as well.
I hope that this article will help you a lot if you have been given an assignment to manage a project.
